Refund Policy

This Refund and Cancellation Policy explains how refunds, cancellations, subscription payments, credit purchases, promotional plans, and payment-provider fees are handled for Odoo Pilot.
By purchasing a subscription, credit pack, promotional offer, or other paid service from Odoo Pilot, you agree to this policy.
1. General Refund Position
Odoo Pilot provides digital software, AI-powered processing, credit-based usage, generated outputs, project workspaces, integrations, and supported Odoo execution services.Because access is provided immediately and costs may be incurred as soon as AI credits, tools, images, infrastructure, or connected services are used, payments are generally non-refundable once usage has started.A limited refund may be available under the conditions described below.
2. First Subscription Purchase
A customer may request a refund for their first Odoo Pilot subscription payment within 48 hours of purchase.
To qualify for a refund, all of the following conditions must be met:
- The request is submitted within 48 hours of the original payment.
- No credits included with the paid subscription have been consumed.
- No paid AI request has been processed.
- No estimate, report, mockup, implementation plan, module, website code, or other paid output has been generated.
- No connected Odoo database action has been approved or executed.
- No generated file or paid output has been exported, downloaded, or pushed to GitHub.
- The account has not violated the Odoo Pilot Terms of Service.
- The refund request is made in good faith.
Once any paid subscription credit has been consumed, the subscription payment becomes non-refundable, except where required by applicable law.The 48-hour refund period applies only to the customer’s first subscription purchase. It does not automatically apply to renewals, upgrades, credit packs, or subsequent purchases.
3. When Usage Begins
For the purpose of this policy, usage begins when a customer or an invited team member performs any paid action using subscription credits.
This includes, but is not limited to:
- Generating a gap-analysis or estimate report
- Creating mockups or images
- Generating implementation plans or tasks
- Performing implementation actions
- Creating or modifying Odoo configurations
- Generating custom module code
- Generating Odoo website code
- Using Pilot Studio
- Using Ask Odoo
- Using AI tools, external integrations, or processing resources
- Approving or executing an action in a connected Odoo database
- Exporting, downloading, or pushing generated outputs
Once any paid credit has been used, the associated subscription payment is not eligible for a change-of-mind refund.Usage caused solely by a confirmed Odoo Pilot platform error will not be treated as customer usage.
4. Subscription Renewals
Subscriptions renew automatically according to the selected monthly or yearly billing cycle unless cancelled before the renewal date.Renewal payments are generally non-refundable.
Odoo Pilot may consider a refund for an accidental renewal when:
- The request is submitted within 48 hours of the renewal payment;
- No credits from the renewed subscription period have been consumed;
- No paid feature has been used after renewal; and
- The subscription is cancelled immediately.
Approval of an accidental-renewal refund is at Odoo Pilot’s discretion, except where a refund is required by applicable law.
5. Plan Upgrades and Downgrades
Customers may upgrade or downgrade their subscription according to the options available within their account.Plan upgrades may be charged immediately or prorated according to the applicable billing arrangement.Upgrade charges become non-refundable once any additional credits, users, workspaces, or upgraded features have been used.Downgrading a plan does not create a refund or credit for previously paid subscription fees. The lower plan will normally take effect at the beginning of the next billing period unless otherwise stated.
6. Credit Packs and Additional Credits
Credit-pack purchases may be eligible for a refund only when:
- The request is submitted within 48 hours of purchase; and
- None of the purchased credits have been consumed.
Once any credit from a purchased credit pack has been consumed, the entire credit-pack purchase becomes non-refundable.
Credit packs:
- Have no cash value;
- Cannot be exchanged for money;
- Cannot be transferred unless Odoo Pilot expressly permits it;
- Are not partially refundable once usage has started; and
- Remain subject to the applicable expiry and usage rules.
7. Free Credits and Trials
Free credits, trial credits, promotional credits, bonus credits, and goodwill credits:
- Have no cash value;
- Cannot be refunded;
- Cannot be exchanged for money;
- May be subject to expiry;
- May be limited to selected features; and
- May be withdrawn in cases of misuse, fraud, or violation of the Terms of Service.
Using free credits before purchasing a subscription does not automatically disqualify a customer from the first-purchase refund period. However, no paid subscription credits may be consumed after purchase if the customer intends to request a refund.
8. Early Access, Lifetime and Promotional Offers
Early-access plans, beta plans, discounted subscriptions, lifetime deals, special offers, coupon-based purchases, and promotional packages are subject to the terms displayed at the time of purchase.
Unless the applicable offer states otherwise, these purchases become non-refundable once:
- Access has been granted;
- Any included credit has been consumed;
- A paid output has been generated;
- An integration has been used; or
- A connected-system action has been approved or executed.
Promotional discounts do not create an entitlement to a refund, price adjustment, or credit for previous purchases.
9. AI-Generated Outputs
Odoo Pilot uses artificial intelligence and automated tools to assist with reports, mockups, implementation, configurations, modules, website code, technical guidance, and other outputs.
Refunds will not normally be provided because:
- The customer changed their mind after using the service;
- A prompt was incorrect, unclear, or incomplete;
- Requirements supplied by the customer were inaccurate or missing;
- The customer did not review an AI-generated output;
- The output requires revision or further testing;
- The output does not match an unstated expectation;
- Generated code requires technical review;
- A third-party service behaved unexpectedly; or
- The customer used an output in production without appropriate testing.
Customers are responsible for reviewing and validating all generated outputs before using them in a production environment.
10. Failed Requests and Credit Restoration
When credits are deducted but Odoo Pilot fails to provide the expected output because of a confirmed platform error, Odoo Pilot may restore the affected credits to the customer’s account.Credit restoration is normally the first remedy for failed AI requests and does not automatically create a cash-refund entitlement.
Credits may not be restored when the failure results from:
- Incorrect or incomplete customer input;
- A third-party outage or limitation;
- An unavailable or incorrectly configured Odoo database;
- Invalid GitHub, hosting, API, or integration credentials;
- Customer network or device issues;
- Unsupported custom modules or configurations;
- Customer cancellation during processing; or
- A violation of the Terms of Service.
11. Odoo Database and Connected-System Actions
Some Odoo Pilot modes may connect to an Odoo environment, GitHub repository, Figma account, hosting service, or another third-party platform.
Customers are responsible for:
- Connecting only systems they are authorized to access;
- Reviewing proposed actions before approval;
- Understanding the potential impact of an action;
- Testing changes in a staging or development environment;
- Maintaining appropriate backups;
- Reviewing generated code and configurations;
- Confirming compatibility with the relevant Odoo version; and
- Complying with client, employer, security, and data-protection requirements.
Rollback support may be available for supported actions only. Not every action, configuration, integration, or external-system change can be reversed.Refunds will not normally be provided for production issues resulting from unreviewed, untested, incorrectly approved, or unsupported actions.
12. Third-Party Services
Odoo Pilot may rely on or integrate with third-party providers, including:
- AI model providers
- Payment processors
- Odoo hosting providers
- GitHub
- Figma
- Cloud and infrastructure providers
- Email and communication services
- Other APIs and integrations
Odoo Pilot is not responsible for interruptions, limitations, pricing changes, outages, errors, account restrictions, or service changes caused by third-party providers.Where appropriate, Odoo Pilot may restore affected credits for a confirmed processing failure. A third-party service issue does not automatically entitle the customer to a cash refund.
13. Duplicate or Incorrect Charges
Customers who believe they were charged more than once for the same purchase should contact Odoo Pilot as soon as possible.Verified duplicate or incorrect charges may be refunded after the payment records have been reviewed.A refund for a verified duplicate charge does not depend on whether the customer has used the correctly purchased subscription.
14. Payment-Provider and Transaction Fees
Payment processors, banks, card networks, currency-conversion providers, and other financial-service providers may charge fees when processing the original payment or issuing a refund.
Where permitted by applicable law, any payment-processing, transaction, currency-conversion, international-card, bank, transfer, or similar fee that:
- Was charged in connection with the original payment; and
- Is not returned to Odoo Pilot by the payment provider will not be refundable and may be deducted from the approved refund amount.
Odoo Pilot will not deduct more than the actual non-recoverable fees associated with the transaction.Any fee deduction will be shown or explained when the refund is processed.This section does not limit any statutory right requiring a full refund.
15. Subscription Cancellation
Customers may cancel their subscription through the available account settings or by contacting Odoo Pilot support.
Cancellation:
- Stops future subscription renewals;
- Does not automatically refund previous payments;
- Does not create a cash value for unused credits;
- Does not reverse credits already consumed; and
- Does not cancel charges already incurred before the effective cancellation date.
Unless otherwise stated, customers may continue using their subscription until the end of the current paid billing period.Any remaining credits will be handled according to the applicable rollover and expiry rules.
16. Suspended or Terminated Accounts
Refunds are not normally provided when an account is suspended or terminated because of a verified violation of the:
- Odoo Pilot Terms of Service;
- Acceptable-use requirements;
- Security requirements;
- Payment obligations; or
- Applicable laws.
This does not affect any statutory rights or remedies that cannot legally be excluded.
17. Refund Abuse and Fraud
Odoo Pilot may reject a refund request where there is evidence of:
- Fraudulent activity;
- Repeated subscription and refund attempts;
- Abuse of free or promotional credits;
- Multiple accounts created to obtain additional benefits;
- Usage followed by an inaccurate claim that the service was not accessed;
- Unauthorized payment activity;
- Chargeback abuse; or
- Violation of the Terms of Service.
Odoo Pilot may suspend related accounts while investigating suspected fraud or abuse.
18. How to Request a Refund
To request a refund, contact:

- Full name
- Odoo Pilot account email
- Company name, if applicable
- Payment date
- Subscription or credit pack purchased
- Payment or invoice reference
- Reason for the request
- Any relevant screenshots or supporting information
Submitting a refund request does not guarantee approval.Odoo Pilot may review account activity, credit consumption, generated outputs, execution history, exports, downloads, and payment records when determining eligibility.
19. Refund Processing
Approved refunds will normally be sent to the original payment method.Refund-processing times depend on the payment provider, bank, card issuer, payment method, and country.Odoo Pilot is not responsible for processing delays caused by financial institutions or payment providers.Where the original payment method cannot accept a refund, Odoo Pilot may request additional information or offer another legally permitted method.
20. Statutory Consumer Rights
Nothing in this Refund and Cancellation Policy excludes, restricts, or modifies any consumer guarantee, statutory right, or legal remedy that cannot be excluded under applicable law.Where applicable law gives a customer rights that are more favourable than this policy, those mandatory legal rights will apply.
21. Changes to This Policy
Odoo Pilot may update this Refund and Cancellation Policy from time to time.The updated version will be published on the Odoo Pilot website with a revised “Last updated” date.The policy in effect at the time of purchase will generally apply to that purchase, unless a later change is required by law.
